Rankin, Hill & Clark LLP is seeking a patent attorney or patent agent to join its growing patent preparation and prosecution practice. The position offers flexibility: you can choose to work full-time in either of our Willoughby or North Olmsted offices (or split time between both), with the option to transition to fully remote work if desired. The candidate must be a USPTO-registered or eligible for such registration. Electrical engineering or computer science degrees are preferred, but candidates with experience in information systems, artificial intelligence, or having any strong technical background will be considered.

Position Title: Paralegal 1, Intellectual Property Legal Assistant
Reports To: Assistant General Counsel - Intellectual Property

Position Summary: Provide administrative and technical support to the Intellectual Property (IP) Department.
Essential Functions:
- Assist in updating and maintaining an IP database management system (e.g., create and update patent, trademark, and general matters in the database).
- Knowledge of both US and foreign IP country laws.
- Support the processing of annual fee payments with external payment services.
- Maintain patent and trademark files.
- Maintain Invention Disclosure files and records.
- Coordinate patent committee meetings and logistics.
- Provide administrative assistance to Intellectual Property counsel and other Patent Department personnel (currently 4 persons).
- Prepare documents related to filing and prosecuting US patent applications before the US Patent and Trademark Office and Patent (USPTO) and Patent Cooperation Treaty (PCT) applications before the US Receiving Office.
- Prepare correspondence to outside counsel and foreign associates regarding progression of prosecution of patents and trademarks in portfolio.
- Manage the patent recognition process, including awards for Meritorious Invention, issued patents and annual Patent Awards dinners.
- Manage intra-company patent department correspondence to exchange patent and trademark application instructions and information.
- Distribute patent application and patent related documents to the appropriate inventors and follow through to completion.
- Assist in monitoring costs and expenses. (Budgets)
- Conduct queries and brief searches in online databases and in-house search tools.
- Evaluate internal databases to create listings and reports as well as Excel and PowerPoint presentations.
- Coordinate and manage calendars and scheduling.
Knowledge:
- Knowledge of all Microsoft Office products
- Proficient in working with and managing databases, preferably IP Databases
- Possesses a working understanding of USPTO and PCT documents and formal requirements for patent prosecution
- Knowledge of SAP a plus
Experience:
- 3-5 years of experience
- 1-3 years of patent/legal experience strongly preferred

Calfee, Halter & Griswold LLP (Calfee), a full-service corporate law firm with office in Cleveland, Columbus, Cincinnati, Indianapolis, New York and Washington, D.C. is seeking an experienced Intellectual Property Legal Administrative Assistant to join its Cleveland office.
The Intellectual Property Legal Administrative Assistant performs a variety of administrative duties and delivers high quality service to attorneys and other legal team members in a collaborative team environment. The position requires thorough knowledge of all firm and Intellectual Property practice specific processes and procedures, as well as completing tasks assigned through the Attorney Support Portal. The administrative Assistant maintains the highest level of professionalism and observes confidentiality of client and firm matters.
Essential Duties and Responsibilities:

Prepare documents for all stages of patent preparation and prosecution for attorney review, including draft amendments, responses, Information Disclosure Statements, formal documents, and appropriate transmittal forms.

Assist attorneys and paralegals with maintaining domestic and foreign trademark applications and registrations.

Preparation of communication to clients regarding progression of prosecution of cases in portfolio.

Review and manage docket, providing updated information to attorneys. Regularly update docketing department regarding actions taken.

Prepare client matter request forms for submission to docket department for new cases.

Prepare legal documents and general correspondence from dictation or written format in an accurate and timely manner.

Draft standard correspondence, proofread, edit, and format documents.

Coordination and management of calendars, scheduling, and travel plans.

Input time entries accurately and efficiently into the firm’s timekeeping system.

Maintain paper and electronic client and administrative files in accordance with firm procedures and the document management system.

Attention to other administrative tasks including conflict checks, new client/matter intake process, client bills, mail, check requests and expense reports.

Communicate and interact professionally with clients, attorneys, legal team members and staff to deliver a high level of customer service.

Actively participate as a member of the practice group support team to complete work submitted in the Attorney Support Portal.

Participate in in-house training to continue development and expand legal knowledge.
Required Knowledge, Skills, and Abilities:

High School diploma or equivalent required.

Intellectual Property administrative assistant experience in a law firm or other legal department.

Experience with USPTO e-filing systems.

Experience with PCT filings preferred but not required.

Experience with domestic and foreign documents.

The qualified candidate will be a registered Patent Attorney and a member of at least one state bar, with strong technical and legal credentials and an ability to perform technical and legal writing projects efficiently and effectively.
